Executive Assistant to CEO & EVP, Music

Role Overview | Full-Time | New York City

We are seeking an exceptionally proactive, detail-oriented Executive Assistant to support our CEO and EVP of Music. This role is designed for someone who takes true ownership - anticipating needs, catching issues before they become problems, and knowing when to step in without being asked.

This position centralizes calendar management, scheduling, travel, and other general administration duties. The right candidate is calm, organized, communicative, and highly accountable in a fast-paced, deal-driven environment.

Responsibilities

  • Own complex, high-volume calendars for the CEO and EVP of Music, ensuring meetings are purposeful, prioritized, and well-prepared

  • Proactively manage scheduling across multiple time zones in a high volume environment 

  • Serve as a trusted point of contact for high-level partners, creative directors, managers, legal teams, internal leadership and so forth

  • Handle all executive travel logistics end-to-end, anticipating changes and resolving issues quickly

  • Maintain and update internal spreadsheets and materials:

    • Company decks & portfolios 

    • Biz dev tracker

    • Agent updates

    • Action items and to-dos

    • Social media posts if/when needed

  • Track commitments made in meetings and ensure executives are informed of upcoming obligations

  • Assist with researching contacts across different sectors of the business

  • Prepare leaders ahead of meetings with clear context, notes, and materials

  • Flag conflicts, gaps, or missing information before they create downstream issues

  • Communicate clearly, accurately, and promptly, especially when plans shift

Qualifications

  • 5+ years experience as an Executive Assistant supporting senior executives

  • Strong calendar management and scheduling expertise

  • Excellent written and verbal communication skills

  • Experience communicating with high-level external partners

  • Highly organized with exceptional attention to detail

  • Ability to manage multiple priorities without dropping the ball

  • High level of discretion, accountability, and professionalism
